Clinical Administrative Assistant

Job Summary

The Clinical Administrative Assistant actively supports and incorporates the mission and core values of Health Care Clinic into daily activities. The Clinical Administrative Assistant is responsible for a variety of clinical administrative duties as well as serving as a first point of contact for patients. The Clinical Administrative Assistant will perform all job duties in accordance with the State of Wisconsin, the Wisconsin Department of Health Services, the Reproductive Health Best Practice Guidelines, Title X, and Health Care Clinic Policies and Procedures.

ADMINISTRATIVE RESPONSIBILITIES
  • Triage patient telephone calls in a professional manner to ensure that Health Care Clinic provides the correct type and level of care to facilitate patient satisfaction and well-being.
  • Determine patient pay source and assist patients with Medicaid enrollment, when applicable
  • Maintain patient schedule and assure accurate and timely entries of pertinent medical information on all patients including, but not limited to: telephone encounters, reports and medical records from outside facilities, refills/prescriptions, no shows and cancellations
  • Respond maturely and sensitively to address patient grievances and triage to appropriate staff for resolution
  • Assist with supporting daily operations by collaborating with the Executive Director, Registered Nurse, Nurse Practitioner, and all other members of Health Care Clinic
  • Ensure compliance in office with OSHA, HIPAA, Medicaid, Title X, and 340B
  • Identify and implement ways to improve services to patients and clinical practices
  • Work collaboratively with RN, NP, and accounting team in all aspects of patient coding and billing to ensure timely and accurate claim submission and reconciliation
  • Track and maintain inventory of all prescription drugs and office supplies in adherence to operating budget
  • Attend mandatory and optional trainings as instructed by Executive Director
  • Performs other tasks as required by management
Requirements:
Education: Certified Medical Assistant or Health Unit Coordinator (HUC)
Specialized Training/Certifications/Licenses: Certified Medical Assistant/Registered Medical Assistant or Health Unit Coordinator (HUC)
CPR certification is required.
Must have own reliable transportation. This position requires travel, therefore a valid driver’s license and auto insurance in accordance with agency liability standards is required.
Experience: Previous work in clinical administration is preferred but not required.

Working Conditions:
Will work with blood or blood borne pathogens and will
require OSHA training which will include safety precautions and the use of
personal protective equipment

Physical Demands:
Work requires accuracy and moderate speed
Occasional lifting, carrying, moving, and transporting supplies within sites or from site to site
Driving or riding in vehicle for two hours or more
Variety of physical exertion with extended periods of sitting or standing
Must possess manual dexterity needed for clinical procedures
